PRIMARY CONTRIBUTION |
The Manager, Marketing & Communications ensures that all content reflects our brand and voice. You are the owner of the annual PlanON Awards program for our members. The individual in this role manages the flow of projects, develops an annual content calendar, ensures that project timelines and deadlines are adhered to and that internal department requests are fulfilled in a strategic and timely manner.
TEAM STRUCTURE The Marketing and Communications Department consists of director, manager, and coordinator roles. Director · Scope of Responsibilities: The director oversees the department, setting strategic goals and ensuring alignment with the organization’s overall objectives playing a leadership role in the annual conference. They are the publisher of Y Magazine, and their focus is on long-term visioning and planning, souring of planning related content, department budgets and annual goal setting, fulfilment of internal department requests for communication support, policy development, and ensuring the department meets its strategic objectives. Direct report to Executive Director. Manager · Scope of Responsibilities: The manager handles the day-to-day operations of the department, acting as a project manager for all outgoing communication (e-news), department requests, implementing the strategies and policies set by the director. Their focus is on editorial content, operational efficiency, project implementation, team management, and achieving short- to mid- term goals. The Manager is the owner of the annual PlanON Awards program and a key program member of the annual conference team. Direct report to Director, Marketing & Communications. Coordinator · Scope of Responsibilities: The Coordinator is responsible for specific tasks or projects within the department with a focus on website, social media and conference signage. The coordinator often handles logistics, schedules, and technical functions. Their focus is on ensuring that specific activities or projects are completed according to established policies, timelines and deadlines. Direct report to Manager, Marketing & Communications |
PRINCIPAL RESPONSIBILITIES & DUTIES |
Leadership
· Develop an annual content calendar and social media strategy for the organization as well as focussed monthly content calendars that support annual, one-time and pop-up initiatives, events and activities. · Lead the organization’s online forum (Planners Connect) ensuring the feeds are engaging, active, managed and that relevant policies and procedures are in place to ensure the platform is a safe place for planning related conversations. · Lead the organization’s annual awards program including call for entries, judging and celebration of award winners through annual awards event and ongoing marketing of award winners. · Lead and motivate co-ordinator to achieve results. · Establish annual goals & metrics for yourself and direct report using quantitative data analytics points to measure success, review on a semi-annual basis. · Play an active role in managing conference planning and PlanON Awards ceremony Execute/Deliver · Ensure the department is using the best-in-class, most up-to-date and innovate tools and editorial techniques with a goal to minimize effort to maximize impact. · Write and edit content for use across all platforms for outgoing communications ensuring that tone and voice match our brand strategy and that it is relevant to audience receiving the communication. · Drive programs profiling planners and the role of planning (awards and member profiles) and ensure that member categories receive relevant information. Manage/Control · Manage the Institute’s Project Management software (Monday.com) ensuring all staff are trained and knowledgeable in its usage · Manage the execution of communications and marketing strategies to align with organizational goals. · Oversee create, and proof content across various platforms such as the website, social media, e- blasts, and more. · Manage the communications calendar ensuring department needs are understood and implemented · Strategically implement an ongoing review/update process for organization social media, website and e-blasts. · Manage projects, budgets, and timelines ensuring they are in alignment with organizational and departments goals. · Regularly evaluate regular content and campaigns’ effectiveness, providing reports to senior management. · Develop and execute a cohesive communications strategy that aligns with conference goals, ensuring consistency, quality, and alignment with annual objectives.

· Play an active role as required in high-level organizational conferences and events.
· Develop and maintain operating policies and procedures for social media, website, e-blast and online forum platforms. Perform other duties as required to achieve organizational goals. Designated Assignment · Primary owner of the OPPI Planners Connect, overseeing all related elements. · Primary owner of the OPPI PlanON Awards, overseeing all related elements. · Perform other duties as required to achieve organizational goals. |
REQUIRED SKILLS & QUALIFICATIONS |
● Post-secondary degree/diploma in Communications, Journalism, Marketing, Public Relations
● Minimum 5 years in a similar role ● Strong editorial and project management skills are considered are required; previous supervisory experience preferred. ● Proficiency with Microsoft Office, SharePoint, and web-based tools, Kentico or WordPress, Google analytics, Project Management software, Adobe Illustrator or Creative Suite, Canva, all social media platforms, Hootsuite or similar. ● Oral, written, and presentation / communications skills. ● Experience in the planning field or knowledge of planning is preferred |
TASK & TIME ALLOCATION |
● 50% Editorial and Project Management and Department fulfilment for Strategy & Communications initiatives, Conference, and PlanON Awards
● 25% Research & Planning (development of Communications, editorial calendar and content development, strategic planning for marketing initiatives, attendance at conferences/seminars, cross-departmental meetings) ● 25% Reporting and Assessment (generation of reports and metrics on marketing traction, audience reach, success of communications, action planning based on measured performance) |
REPORTING STRUCTURE, WORK SETTING & COMPENSATION |
Reports To: Director, Marketing & Communications
Direct Reports: One Physical / Environment: Office 85% Stationary Position, operate a computer / phone. 15% Move/Traverse, attend internal and external meetings. Hours of Work: Core business hours of the Institute are Monday to Friday, 8:00 am to 6:00 pm. Staff are expected to work 35 hours per week within these core business hours. Compensation: ● OPPI Perk Days – Closed for Christmas Holiday period and extra day off on long weekends. ● Eligible for health benefit after 3 months, including dental, vision, paramedical and medicine. ● RRSP matching program after 6 months ● Travel reimbursed at $0.55/km.
